Job Summary:

The EA provides high quality, confidential, executive secretarial and administrative support to the Directors, the Management Team and Trust Board, as instructed by the Directors. Ensuring all members of the team have access to appropriate and accurate information in relation to your designated areas to support the organization in its delivery of services that work towards the principles of enabling good lives.

Core objectives include:

  • Provide proactive, confidential, high quality and timely administration support to Directors.
  • Produce Company Policies
  • Manage Health and Safety Documents
  • Create and maintain Human Resources documents.
  • Fulfil H&S and HR Support role.
  • Identify and communicate with key stakeholders internally and externally.
  • Liaise between various business departments and groups.
  • Maintain documentation regarding various projects, processes and operations.
  • Collaborate with project managers and cross-functional teams.

Other Duties

  • Manage and coordinate the Directors Outlook diary (and others as required).
  • Train incoming Support Staff.
  • Maintain the Company calendar, induction packs, uniforms, policies, procedures, and documents. Items are included in the Company Meeting agenda as identified within these documents.
  • Organize small to large events, both within and external to the organization, such as powhiri, welcome morning teas, training workshops, AGM, conferences, award ceremonies etc (or being part of the organizing committee).
  • Fulfill other duties as required by management as requested.
Requirements

Requirements/Skills Needed:

  • 3 to 5 years EA experience.
  • Excellent Administration skills and communication skills.
  • Cultural Awareness
  • Ability to interpret detailed information and legislation to provide support and advice to management team.
  • Professional approach in demeanor and presentation
  • Organizational and time management skills
  • Excellent attention to detail
  • Excellent punctuality and time keeping
  • Comfortable in conversing with people with varying backgrounds and communication abilities.

  • Proficient in Office tools such as Microsoft Word, Excel, PowerPoint, Outlook, and Google Workspace (Docs, Sheets, Slides, Gmail, Calendar).
  • Ability to lead

Additional Job Details:

Set-up and Location: Onsite- Ortigas

Work Schedule: 8:00AM to 5:00PM (NZ Time) | 3:00AM to 12:00PM (PH)

Employment Type: Full-time
