The Opportunity at a Glance

We are looking for a detail-driven Administrative Assistant to support the financial operations of a growing Australian law practice. This fully remote role focuses on managing business and trust account administration, liaising closely with solicitors, external accountants, and bookkeepers. If you have strong experience with Xero and a background in the legal industry, we’d love to hear from you!


How You’ll Make an Impact

  • Manage business accounts: Process and issue invoices, reconcile payments via Xero and Stripe, and liaise with clients regarding outstanding accounts.
  • Handle trust accounts with precision: Request, record, and receipt trust deposits; prepare trust statements upon matter closure.
  • Maintain financial accuracy: Ensure daily receipting, payment reconciliation, and client communication through Actionstep and accounting systems.
  • Oversee accounts administration: Manage the Accounts inbox, monitor client payment plans, and support bookkeeper queries weekly.
  • Work collaboratively: Partner closely with internal teams and external financial partners to ensure smooth, compliant operations.


What We’re Looking For – You’re the Perfect Fit if You:

  • Are highly proficient with Xero Accounting Software.
  • Have previous experience working in the Australian legal industry in an administrative or accounts support role.
  • Possess excellent attention to detail, accuracy, and organisational skills.
  • Communicate clearly and professionally with clients, solicitors, and external stakeholders.
  • Are self-motivated and capable of managing your time independently in a remote setting.


What Sets You Apart – You’ll Shine Even Brighter with:

  • Experience using Actionstep practice management software.
  • Hands-on experience with trust account management within a legal services environment.
  • Prior collaboration with external accountants and bookkeepers on financial matters.
