Description

Bachelor’s Degree: Many employers prefer a bachelor’s degree in business administration, communications, or a related field.

Administrative Experience: At least 2-5 years of experience in an administrative or executive support role.

Organizational Skills: Ability to manage multiple tasks, calendars, and schedules effectively.

Communication: Excellent verbal and written communication skills, with the ability to interact professionally with all levels of staff and external contacts.

Tech Savvy: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and other relevant software/tools.

Time Management: Ability to prioritize tasks and manage time efficiently.

Problem-Solving Skills: Strong decision-making ability and initiative in handling various tasks independently.

Discretion: Maintaining confidentiality and handling sensitive information with care.

Interpersonal Skills: Ability to build strong working relationships and work effectively in a team.

Requirements

1. Administrative Support

  • Calendar Management: Organize and maintain the executive’s calendar, including scheduling meetings, appointments, and travel.
  • Correspondence: Draft, edit, and manage emails, reports, and other communication on behalf of the executive.
  • Documentation: Organize and file important documents, both digital and physical, ensuring easy access and confidentiality.

2. Meeting Coordination

  • Meeting Preparation: Schedule and organize internal and external meetings, prepare agendas, and ensure necessary materials are available.
  • Minutes and Follow-Ups: Take detailed notes during meetings and follow up on action items.

3. Travel Arrangements

  • Planning: Arrange domestic and international travel, including flights, hotels, ground transportation, and itineraries.
  • Travel Expenses: Prepare and submit expense reports, ensuring timely reimbursement.

4. Executive-Level Communication

  • Gatekeeper: Act as a primary point of contact for internal and external communications on behalf of the executive, including screening calls and visitors.
  • Professional Interaction: Handle communication with key stakeholders, clients, and board members in a professional and timely manner.

5. Project Management

  • Support for Key Projects: Assist in managing special projects, tracking deadlines, and ensuring that deliverables are met.
  • Coordination Across Departments: Work with various departments to ensure smooth workflow and collaboration on executive tasks and projects.

6. Event and Conference Coordination

  • Event Planning: Organize company events, conferences, or executive off-site meetings, ensuring all logistics are handled.
  • Vendor Coordination: Liaise with vendors, venues, and service providers as necessary.
