1. Responsible for scheduling the Chairman's appointments and timely reminders (including attending meetings, meeting guests, handling affairs, approving documents, etc.);
2. Responsible for arranging the Chairman's business travel itinerary and accompanying travel (including passport and visa, booking flights, airport transfers, accommodation, meals, meetings, and preparing relevant documents and materials required for the trip);
3. Responsible for the reception and arrangements for important guests of the Chairman (including preparations for tea rooms, fruits, snacks, meals, accommodation, etc.);
4. Draft documents, speeches, presentations, and related management systems as required by the Chairman, familiar with company operations, and assist in supervising the management of business products and sales teams;
5. Responsible for the circulation of documents and related tasks (classifying incoming documents based on urgency and importance, promptly arranging for the Chairman to review urgent documents, and assisting the Chairman in efficiently handling documents. Based on the Chairman's instructions, timely passing on documents that require further circulation; providing timely feedback and archiving completed documents, ensuring smooth circulation of work);
6. Responsible for supervising and managing tasks, coordinating management work (based on written instructions and verbal directives from the Chairman, completing supervision and management tasks within deadlines, and providing timely follow-up, implementation, and feedback);
7. Responsible for meeting management (assisting in organizing large meetings and events; responsible for organizing, coordinating, and tracking convened meetings, taking meeting minutes, and following up on the resolutions from the meeting agenda);
8. Assist the Chairman in maintaining good external client relationships, timely updating the Chairman's business card management system, and assisting relevant departments in coordinating the Chairman's major social, public welfare activities, and social positions;
9. Responsible for collecting, organizing, and archiving the Chairman's personal items (safeguarding the Chairman's personal identification and the safe's key, maintaining records of usage and borrowing);
10. Responsible for the reimbursement of the Chairman's official expenses;
11. Responsible for the procurement and management of valuable materials for the Chairman's public relations activities;
12. Maintain the cleanliness, orderliness, and safety of the Chairman's office environment.
職位要求
1. Under 35 years of age, height of 160CM or above, with a good appearance and temperament; candidates with experience will be given priority.
2. 3-5 years of experience as a senior executive assistant, with preference given to those with experience in real estate, finance, or IT industries.
3. Excellent verbal and written communication skills, strong coordination abilities, good public relations skills, effective time management skills, clear thinking, high emotional intelligence, and strong execution capabilities.
4. Full-time undergraduate degree or above, majoring in Administrative Secretarial or Business Management, with English proficiency at level six or above.
5. Able to adapt to occasional business trips and overtime work.
6. Familiar with business socializing and public relations activities.
