Job Title: Operations Specialist


Job Summary: The Operations Specialist will provide support to the operations team by performing administrative, logistical, and operational tasks to ensure the efficient functioning of daily business activities. This role involves assisting in inventory management, coordinating schedules, maintaining records, and supporting various projects to achieve operational goals. The ideal candidate is organized, detail-oriented, and capable of multitasking in a fast-paced environment.


Key Responsibilities:


  1. Administrative Support:
  • Perform general administrative duties, such as preparing documents, managing correspondence, and organizing files.
  • Assist in scheduling and coordinating meetings, appointments, and events.
  • Maintain accurate and up-to-date records and reports related to operations.
  1. Logistical Coordination:
  • Support inventory management, including tracking stock levels, placing orders, and maintaining records of incoming and outgoing goods.
  • Coordinate with suppliers, vendors, and internal teams to ensure timely delivery of products and services.
  • Monitor and maintain office or warehouse supplies, ensuring availability for daily operations.
  1. Operational Support:
  • Assist in planning and executing operational projects, ensuring tasks are completed on time and within budget.
  • Help identify process inefficiencies and recommend improvements to optimize workflow.
  • Provide support to various departments as needed to ensure seamless business operations.
  1. Customer and Client Interaction:
  • Respond to inquiries from clients, customers, or team members in a timely and professional manner.
  • Collaborate with the customer service team to address and resolve client concerns related to operations.
  1. Compliance and Safety:
  • Ensure all operational processes comply with company policies and regulations.
  • Monitor safety protocols and assist in implementing necessary measures to maintain a safe work environment.
  1. Data Management and Reporting:
  • Compile, organize, and analyze operational data to generate reports for management review.
  • Track key performance indicators (KPIs) and operational metrics to measure efficiency and identify areas for improvement.

職位要求

  • Education: Bachelor’s degree in Business Administration, Operations Management, or a related field is preferred.
  • Experience:
  • At least 1-2 years of experience in an administrative or operational role.
  • Experience in logistics, inventory management, or supply chain is a plus.
  • Skills:
  • Excellent organizational and time-management skills, with the ability to prioritize tasks effectively.
  • Strong attention to detail and accuracy in managing records and data.
  • Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace) and familiarity with operations-related tools or systems.
  • Good communication and interpersonal skills to interact with team members, clients, and vendors.
  • Problem-solving abilities and a proactive approach to addressing operational challenges.
  • Ability to work independently and as part of a team.
  • Strong sense of accountability and reliability.
  • Adaptability to handle changing priorities and multitask effectively.

Working Conditions:

  • The role will be based at the company’s main office or designated operational site.
  • Occasional travel may be required to support off-site operations or meetings.
  • The position may involve extended hours during peak operational periods.
