About the Role:
The Virtual Assistant - Vendor & Procurement Coordinator is responsible for managing supplier relationships, negotiating pricing, and ensuring seamless communication with vendors. This role requires strong organizational skills, attention to detail, and the ability to efficiently source and procure materials in a remote setting.
Key Responsibilities:
Vendor Engagement: Actively communicate with vendors and manufacturers to request pricing, product availability, and detailed specifications. Draft and send emails to vendors detailing procurement needs and requirements to ensure accurate quotations.
Order Management: Maintain ongoing communication with suppliers to ensure timely and efficient order fulfillment, tracking the status of orders and resolving issues as they arise. Make follow-up calls to confirm order details and finalize transactions, ensuring accuracy and efficiency in procurement processes.
Procurement Accuracy: Understand the technical aspects of materials (e.g., metals, wood) to ensure precise procurement and alignment with project specifications. Maintain organized records of supplier communications, quotations, orders, and any adjustments to specifications.
Collaboration & Coordination: Collaborate with internal teams to align procurement efforts with business requirements, ensuring that the right materials are sourced and delivered on time. Stay in close communication with the internal team to address any changes in material requirements or delivery schedules.
Customer Relationship Management: Oversee and assist in the development of strong customer relationships, ensuring high levels of satisfaction and loyalty. Utilize market insights and customer feedback to identify opportunities for service or product enhancements.
