A Glimpse into Your New Role
Responsibilities
As a
Purchasing Officer, you will play a pivotal role in managing the end-to-end procurement process, driving operational excellence, and ensuring the timely delivery of goods and services that support business goals. Your responsibilities will include:
- Sourcing & Vendor Management: Identify and assess reliable suppliers; negotiate contracts and terms; maintain strong, long-term supplier relationships.
- Purchase Order Management: Create and manage purchase orders and requisitions; ensure accurate documentation, on-time deliveries, and proper recordkeeping.
- Cost Analysis & Budget Monitoring: Analyze price trends, perform benchmarking, and evaluate supplier performance to inform cost-effective decisions and stay within budget.
- Inventory Coordination: Collaborate with facilities and clinic teams to ensure optimal stock levels are maintained to support operations.
- Compliance & Documentation: Ensure procurement activities comply with company policies, audit standards, and regulatory requirements; maintain detailed and organized records for audit readiness.
- Process Improvements: Identify inefficiencies or gaps in the purchasing process and lead initiatives to improve procurement operations and generate cost savings.
- Cross-functional Collaboration: Work closely with finance, operations, facilities, and clinics teams to align procurement strategies with business needs and timelines.
- Operational Oversight: Oversee day-to-day procurement tasks, address supplier issues (e.g., delays, non-compliance, defects), and ensure timely and accurate purchasing of goods and services.
- Strategic Sourcing: Monitor market trends and develop procurement strategies that align with business goals and mitigate supply chain risks.
- Contract Negotiation: Lead commercial negotiations with vendors to secure favorable pricing, terms, and conditions.
- Supplier Performance Management: Establish and monitor supplier KPIs, ensuring adherence to service level agreements (SLAs) and timely corrective actions when needed.
- Risk Mitigation: Identify, assess, and manage risks related to suppliers, pricing, availability, and market conditions.
- Reporting: Track and report procurement metrics to reduce expenses, drive continuous improvement, and support strategic planning.
- Audit Readiness: Ensure all purchasing activities, documentation, and supplier dealings comply with audit protocols.
What You’ll Bring
- At least 5 years of relevant experience in purchasing or procurement roles
- Strong background in sourcing, negotiation, supplier management, and procurement process optimization
- Exposure to manufacturing, retail, professional services, or similar industries is highly preferred
- Proven track record in cost-saving initiatives and process improvements
- Proficient in purchasing tools and accounting systems
- Strong analytical, decision-making, and problem-solving skills
- Experience with audit compliance and documentation
- Preferred: Experience managing or leading a procurement team
