Role Overview


We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to provide comprehensive administrative support to our senior executives. The ideal candidate will be a seasoned professional with excellent oral and written communication skills, strong interpersonal abilities, and the capacity to handle sensitive information with the utmost discretion. This role requires someone who can anticipate needs, manage multiple priorities, and execute tasks efficiently and promptly.


Responsibilities:


Administrative Support:

  • Manage and maintain executives' calendars, schedules, and appointments.
  • Arrange and coordinate travel, accommodations, and itineraries.
  • Prepare and organize documents, reports, presentations, and correspondence.
  • Screen and prioritize incoming emails, phone calls, and mail.
  • Handle confidential information with discretion and professionalism.
  • Maintain organized filing systems (both electronic and physical).

Meeting Coordination:

  • Schedule and coordinate meetings, including preparing agendas, taking minutes, and distributing materials
  • Organize and manage logistics for meetings, conferences, and events.
  • Follow up on action items and ensure timely completion.

Communication & Liaison:

  • Act as a point of contact between executives and internal/external stakeholders.
  • Draft and edit correspondence, reports, and presentations.
  • Prepare and distribute meeting minutes and action items.
  • Communicate effectively with all levels of the organization.
  • Assist with special projects and other administrative tasks as needed.


Qualifications:


• Bachelor's degree or equivalent experience in a related field.

• Minimum 10 years of experience as an Executive Assistant or in a similar administrative role.

• Excellent organizational and time management skills.

• Strong written and verbal communication skills.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

• Ability to prioritize tasks and manage multiple projects simultaneously.

• High level of discretion and confidentiality.

• Strong attention to detail and accuracy.

• Ability to work independently and as part of a team.

• Excellent interpersonal skills and a professional demeanor.

• Adaptable to changing priorities and able to thrive in a fast-paced environment, demonstrating both agility and grit

• Experienced in working with high-level individuals from diverse cultural backgrounds


Preferred Skills:

• Experience communicating with international clients

• Knowledge of basic accounting principles.

• Experience with event planning and coordination.
