Description
1. Responsible for the Chairman's schedule arrangement and timely reminders (including attending meetings, meeting guests, handling affairs, reviewing documents, etc.);
2. Responsible for arranging the Chairman's business trips and accompanying travel (including passport and visa applications, booking flights, airport transfers, accommodation, meals, meetings, and preparing necessary documents and materials for the trip);
3. Responsible for the reception and arrangement of important guests for the Chairman (including preparations for tea rooms, fruits, snacks, meals, accommodation, etc.);
4. Draft documents, speeches, PowerPoint presentations, and related management systems as per the Chairman's requirements, familiar with company operations, and assist in the management and supervision of business products and sales teams;
5. Responsible for the circulation of documents and materials (classifying incoming documents based on urgency and importance, promptly arranging for the Chairman's review of urgent documents, and assisting the Chairman in efficiently handling documents. Timely forwarding documents that need to continue circulation as per the Chairman's instructions; providing timely feedback and archiving completed documents, ensuring smooth operation during circulation);
6. Responsible for supervisory and management coordination work (executing the Chairman's written instructions and verbal directives within stipulated timeframes, following up, implementing, and providing feedback promptly);
7. Responsible for meeting management (assisting in the organization of large meetings and events; responsible for organizing, coordinating, and tracking convened meetings, taking minutes, and following up on the resolutions from the meetings);
8. Assist the Chairman in maintaining good external customer relationships, timely updating the Chairman's business card management system, and assisting relevant departments in coordinating significant social, charitable, and official activities;
9. Responsible for the collection, organization, and archiving of the Chairman's personal items (safeguarding the Chairman's personal certificates, keys to the safe, and maintaining usage and borrowing records);
10. Responsible for the reimbursement of the Chairman's official expenses;
11. Responsible for the procurement and management of valuable materials for the Chairman's public relations activities;
12. Maintain cleanliness, orderliness, and safety in the Chairman's office environment.
Requirements
1. Under 35 years old, height of 160CM or above, with a pleasant appearance and demeanor; candidates with experience will be given priority.
2. 3-5 years of experience as a senior executive assistant, with preference given to those with backgrounds in real estate, finance, or IT industries.
3. Excellent verbal and written communication skills, strong coordination abilities, good public relations skills, and effective time management, with a clear thought process, high emotional intelligence, and strong execution capabilities.
4. Full-time bachelor's degree or higher, majoring in administrative or business management, with a minimum of CET-6 in English.
5. Ability to adapt to occasional business trips and overtime work.
6. Familiarity with business networking and public relations activities.
