Description

Executive VA Objectives:

1. Provide admin support to the clients on behalf of our company

2. Manage communication between upper management and employees, liaising with  

    internal and external executives on various projects and tasks

3. Plan and orchestrate work to ensure the team priorities are met, organizational goals 

    are achieved, and best practices are upheld

4. General help in all matters


Executive VA Job Responsibilities:

-Manage professional and personal scheduling for clients, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics

-market properties, select tenants, draw up letting agreements and respond to requests by tenants

-Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to team

-Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database

-Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business


Executive EA - Letting Agent Roles:

-advising clients about the letting process and rents

-setting up viewings and showing potential tenants, video and VR tours, and setting up agent to show the property

-Helping to select responsible, reliable tenants

-preparing tenancy agreements and inventories

-checking tenant references

-making sure all aspects of the letting meet legal requirements

-arranging for maintenance to be carried out

-working with a wide range of people, such as solicitors, builders, cleaners and suppliers\

-handling any problems with the property

-keeping up-to-date with changes in the law related to lettings

Requirements

1. Real Estate Knowledge

  • Familiar with real estate terms, listings, CRM, and property processes.

2. Admin & Communication Skills

  • Email/calendar management, data entry, and appointment setting.
  • Strong English (written & spoken), client communication, and follow-ups.

3. Tech Skills

  • Proficient with tools like Google Workspace, Zoom, Trello, CRMs (e.g., KVCore, FUB).
  • Fast, reliable internet and a quiet work setup.

4. Optional Skills

  • Social media marketing, Canva, video editing, or cold calling.
  • Lead generation or managing buyer/seller pipelines (if needed).

5. Experience

  • 1–2 years in real estate or admin support is preferred but not always required.
