Description

The Senior Business Analyst will lead the implementation and adoption of the Electronic Document and Records Management System(EDRMS) across the organisation. This pivotal role involves translating institutional records policies (AO 4.08) into actionable SharePoint-based solutions. You will be responsible for the full project lifecycle—from strategic engagement and business process analysis to workflow design, change management, and go-live support—ensuring a compliant and seamless transition for all departments and field offices.

  • Strategic Engagement: Partner with departmental sponsors to plan and execute the phased EDRMS rollout, confirming site structures and readiness.
  • Process & Requirements Analysis: Analyse existing records workflows and file plans to document business requirements for SharePoint libraries, metadata, permissions, and governance models.
  • Solution Design & Implementation: Design, validate, and configure SharePoint sites and workflows for records declaration, lifecycle management, and legacy system transitions, ensuring alignment with institutional standards.
  • Change Management & Training: Drive adoption through departmental briefings, coaching sessions, and EDRMS training on Records Management and SharePoint protocols.
  • Documentation & Reporting: Maintain detailed documentation of site structures and rollout activities. Track milestones, mitigate risks, and report progress to stakeholders.

Requirements

  • Educational Qualifications: Bachelor’s degree in Business Administration, Information Management, or a related field.
  • Experience Level: 5-10 years of experience in business analysis or records management.
  • Skills and Competencies: Proficient in Stakeholder Management, SharePoint Online Design, AO 4.08 compliance, Records and Metadata Governance, SQL, Jira, Workflow Design Methods, Power Automate, Digital Records Lifecycle, Data Visualisation, and Business Process Analysis.
  • Working Conditions: Office environment with remote work options; team-oriented setting.
  • Qualities and Traits: Strong analytical mindset, excellent communication skills, attention to detail, adaptability, and problem-solving abilities.
