Description

1) Responsible for the registration and insurance of all company-owned vehicles and processing of claims when needed.

2) Assist in the coordination of all matters related to the company's vehicles and rented cars as well as contract preparation for cars to be assigned to employees.

3) Encode, tally, and segregate gasoline bills needed for the semi-monthly report.

4) Coordinate the proper replacement and maintenance of Company utilities i.e. telephone and water related utilities.

5) Coordinate with company messengers and mail services for the dispatching of mailing documents when needed.

6) In charge of inventory and replacement of supplies, and submits periodic reports of usage/consumption.

7) In charge of general services and maintenance required for all office equipment with periodic report.

8) Perform general clerical duties i.e. encoding and filing.

9) Receive, screen, and forward incoming calls and fax messages. Assist in office lobby reception functions [ushering], telephone operations, including but not limited to the following:

a. All incoming company calls, incl. transfer to appropriate locals.

b. All company visitors including but not limited to company visitors, applicants, collectors, contractors, government visitors, etc.

10) Receive, review and acknowledge [by stamping] all incoming mails and parcels, under established company procedures and guidelines.

11) Responsible for sourcing of suppliers, incl. canvassing of legitimate vendors for the company's purchases (office supplies, equipment, etc.)

12) Assist the President in all his filing requirements when needed and dispatches/mails documents whenever necessary.

13) Handle markings and distribution of telephone directories, and maintenance of Library.

14) Stand-in as custodian for all the master keys of all company properties i.e. vehicles, employees' lockers and other company equipment.

15) Handle sample deliveries to clients.

16) Process requests for business card requirements.

17) other duties assigned from time to time.

Requirements

25-37 years old

College Graduate

Experience in Admin duties and data analysis

Microsoft Office skills

Minimum 2 years of work experience
