Key Responsibilities:

  • Billing & Financial Processing: Process and track engineering-related billings, ensuring accuracy and timely payments. Assist in budget tracking and expense monitoring to support the engineering department’s financial operations.
  • Document Management: Maintain, organize, and file contracts, reports, and other essential records for the department. Ensure proper documentation of all relevant processes.
  • Vendor & Supplier Coordination: Assist in procurement processes, liaise with vendors and suppliers for the smooth delivery of services and products, and facilitate maintenance requests as needed.
  • Compliance & Permits: Assist in the preparation and submission of purchase requests, permits, compliance documents, and other regulatory submissions to ensure the department’s operations align with company policies and local regulations.
  • Scheduling & Coordination: Arrange and coordinate meetings, appointments, and department activities. Ensure the smooth flow of scheduling for various department needs.
  • Administrative Support: Handle general office administration, including correspondence, filing, and maintaining office procedures. Assist in preparing and compiling meeting minutes and inter-office memos.
  • Policy Compliance: Ensure adherence to all company policies, internal procedures, and regulatory requirements.

 

Qualifications:

  • Education: Bachelor’s degree in Business Administration, Management, Accounting, or a related field.
  • Experience: 1-2 years of experience in administrative support, preferably in facilities management or property management.
  • Skills:
    • Strong written and verbal communication skills.
    • Proficiency in Microsoft Office (Excel, Word, Outlook) and the ability to quickly learn new software, particularly for financial monitoring and processing.
    • Excellent organizational, time-management, and multitasking skills.
    • High level of integrity, attention to detail, and problem-solving abilities.
  • Work Style: Ability to work independently and collaboratively across various teams, including the Engineering Team (Chief Engineer, Building Engineers, and Shift Engineers).
